Highly customizable scheduler—but lacks reporting and user-friendliness

Verdict: 6.9/10

Celayix is worth your attention if you need a reliable scheduling and time-tracking app.  Its schedule auto-fill feature saves you time and is highly customizable. You can also pre-save task lists, restrict clock-ins to geofenced areas, and track huge amounts of employee data—including pay rates. 

However, integrating with popular payroll providers isn’t straightforward, and custom reporting is quite limited. Plus, moving between 3 different mobile apps for different features is fatiguing and can hinder growing teams. There are time and attendance apps with stronger features that cost less.

Celayix Pricing 

Celayix offers 2 paid pricing plans (billed monthly or annually) but no free plan. There’s a free 14-day trial, no credit card required, which I found easy to sign up for on the vendor’s website.

To get a custom quote from Celayix, you have to book an intro and demo call and answer some extra questions. The process took about a week for me, but I eventually got an estimate.

The sales rep also quoted a one-off $500 implementation fee for 5 hours of training and configuration. 

The subscription cost is slightly pricey for the feature set. For instance, Clockify Pro is in its ballpark (see table below)—but it features expense management, labor cost analysis, and live GPS tracking.

Plus, there are alternatives whose per-user cost is only a fraction of Celayix’s. For example, Connecteam bills just $29/month for the first 30 users and an additional $0.50/user/month (billed annually.)

Celayix Usability and Interface

Celayix offers 3 web-based apps with different websites and interfaces. Schedule Xpress is the main one and lets you manage schedules, employee data, and admin settings. Time Xpress lets you manage time and attendance data only. Finally, Team Xpress lets employees view schedules, request time off, and punch in and out of shifts.

You won’t come across many scheduling vendors that make you use 2—let alone 3—apps, and that’s because it slows you down. I wish Celayix would bring all admin and employee-facing features into one app. 

Usability varies across the 3 apps: 

  • Team Xpress is straightforward to use. Employees view their schedules, clock in, and make requests (including shift bids and time off).
  • Time Xpress is the least user-friendly. The difference between some features is unclear, and the interface is cluttered.
  • Schedule Xpress is well organized, if slightly overwhelming. The main features (scheduling, time processing, requests, and employee data) are clearly labeled. However, I needed some time to explore which buttons contain which actions and customizations.

The design is somewhat modern but could be more so. Still, you can drag and drop schedules, slide to expand column width, and take advantage of other useful functionality.

Mobile app

Celayix also offers 3 mobile apps:

  • Schedule Xpress (for admins)
  • Time Xpress (for admins)
  • Team Xpress (for employees)

Downloading and switching between these apps can cause delays and frustration. For instance, workers might download the wrong app, and admins who manage schedules, timesheets, and their own shifts must juggle 3 apps.

Functionality-wise, the 3 apps are limited but work well. In Schedule Xpress, you can add and edit shifts, leave shifts open or assign staff members, and view your weekly team schedule. You can’t recur or auto-fill shifts, manage employee info, or view availability. 

Meanwhile, Time Xpress is a non-mobile-responsive transplant of the web app. Your dashboard is a wide table with shift information that’s hard to view at a glance. You can take the same actions as you can on the web app, including editing workers’ clock-in and clock-out times.

Finally, Team Xpress is a user-friendly app where employees can check schedules and tasks, grab open shifts, track time, request time off, set availability, and message supervisors. I like that they can also customize clock-in and clock-out reminders.

Celayix Core Functionalities 

Scheduling

You build schedules in Schedule Xpress, and employees view and request shifts in Team Xpress.

Scheduling is pretty straightforward, though I didn’t find the navigation intuitive. Thankfully, my demo rep explained that the magic happens with these 2 buttons:

  • Shift tools: Create one-off or recurring shifts, and add details such as date, time, customer, location, notes, and tasks—and either assign staff members or leave shifts open. You can also save and customize shift templates.
  • Schedule tools: Get shifts filled with rule-based suggestions, replace employees, and send messages to assignees.

You can drag and drop shifts across days and employee schedules, plus publish shifts with 1 click. You can also right-click shifts and copy, paste, or delete them. I like that you can click on any slot and select “Repeat” to make it a recurring shift.

On Team Xpress, employees can view their schedules and either self-schedule or bid on open shifts. Self-scheduling fills open shifts on a first-come, first-served basis, while bidding lets managers select “winning” bidders. 

In both cases, you can set shift assignment rules. For example, specify which qualifications are required and whether workers with overtime hours can bid. The rules can apply to non-open shifts, too. Here, you get alerts when scheduling someone who doesn’t match your custom shift rules.

Disappointingly, there’s no shift swap feature. This can create last-minute scrambles and no-shows since managers must arrange replacements.

The scheduling feature’s crown jewel is auto-fill. This suggests shift assignees (and replacements) based on your rules (e.g., qualifications and overtime status), as well as workers’ availability and time off. I like that these rules are fully customizable

For example, you can customize your “No overtime” rule to include specific departments or positions only. You can also choose between exact results (where assignees must meet all requirements) and partial ones (when out of options, it suggests workers that meet some of the criteria in an order you choose.)

Geofence time tracking

Celayix offers geofence time tracking and calls its clock-ins “check-ins.” I like that workers can check in to scheduled and unscheduled shifts

However, on some competitor platforms, employees can clock in easily with 1 click straight from their mobile dashboards. On the Team Xpress app (both mobile and web), a user must slide their finger (or cursor) horizontally across the screen to track time. This can produce accidentally missed clock-ins. 

On the bright side, Celayix features geofencing, which lets you restrict check-ins and check-outs to certain perimeters. This can help you reduce time theft while ensuring workers are at the right locations. But, unlike some location-tracking apps, it doesn’t let you track workers’ real-time GPS locations during clocked hours.

Other time-tracking perks include:

  • Track hours against customers, sites, and services.
  • Set overtime rules and get overtime hours tracked automatically.
  • Schedule extra check-ins throughout the shift to make sure workers are safe and productive.
  • Get a full log of check-in and check-out times.

I would’ve liked to see more plug-and-play integrations with payroll software. Currently, Celayix partners with isolved and Greenshades for payroll integration. Its team must set up custom configurations if you use other providers (like QuickBooks).

Time off management

Requesting time off on Team Xpress is easy—enter the time off type, start/end date and time, and a note. Employees can also set their availability. As an admin, you get time off notifications on Schedule Xpress, select one or several requests, and click “Approve” or “Decline.” 

You can create time off types (e.g., vacation, parental leave) and customize which ones require admin approval. 

However, you can’t create or customize time off policies (including accrual rules) like you can on apps such as Connecteam.

Task management

I like that Celayix’s task manager is customizable. You can set up task lists and add them to your shifts in a couple clicks. You can also manually add individual tasks. However, I would’ve liked to see multiple task statuses and a task-tracking dashboard. Currently, you see only if tasks are done or not done (with time stamps).

Also, you must grant employees access to shift tasks in the settings before they can view or tick off tasks, which I found cumbersome. 

That said, I thought opening and ticking off shift tasks was easy, and I could also add notes, files, and signatures in the tasks section.

Employee database

Celayix has a comprehensive employee database. You can store and customize data, including:

  • Contact information
  • Work days and pay rates
  • Max hours (daily, weekly, or monthly)
  • Personal info, such as emergency contacts
  • Hiring history, including start and end dates and termination reasons
  • Sites and customers the employee can view schedules for
  • Restrictions (for example, sites they shouldn’t work on)
  • Qualifications 

Possibly the most valuable tool here is the qualifications. You set these up in your settings and select them from a dropdown in employee records. Where relevant, add expiration dates and customize admin renewal alerts (e.g., 2 months before). 

I especially like that you can link qualifications to specific services or shifts, preventing non-qualified employees from working them. Services are customizable—they could be job types (e.g., cook) or client offerings (e.g., cleaning).

Team communication

I like that managers can send mass messages to employees working specific shifts or all workers via the “Notify employees” tool. You can notify them about open and assigned shifts and add or remove users in your message. It’s great for last-minute reminders and changes. 

Celayix also offers a 1-to-1 in-app chat where employees contact supervisors. You can access it in Team Xpress and Time Xpress. In my trial, the chat tool produced an error message, and a rep confirmed the tool is currently under development. So, I reviewed the chat feature in the company’s demo videos.

It’s a basic instant messaging interface where you search for contacts, type your message, and see message time stamps and a delivered/seen status. While it’s more user-friendly than some email-like messaging tools I’ve tested, there are downsides. 

You can’t create group channels, for instance, and there are no reactions or voice notes. 

Additionally, there’s no announcements feature where users can see team-wide posts in a feed.

Celayix Security Features

In its privacy policy, Celayix outlines which types of user data it collects (for example, locations, website cookie data, and contact details), how it uses it, and how—in some cases—you can opt out.

The vendor claims it protects user information at rest and in transit but doesn’t specify its encryption technology. It also mentions “secure servers” but doesn’t detail security methods or certifications. This isn’t a red flag, but it’s an amber one—customers should know which processes and technology protect sensitive data like pay rates.

Celayix lets you manage 3 user access levels: admin, manager, and user. You can customize permissions, including viewing and editing shifts and hours. In addition, you can enable 2-factor authentication (2FA) for extra account security.

Celayix isn’t GDPR compliant in the EU. It also isn’t HIPAA compliant in the US.

Verdict: 7/10

Celayix Reporting & Analytics

You can create detailed custom reports in Celayix, but it’s not easy.

There are 3 main ways to create reports in Schedule Xpress.

1) Individual features

In sections including scheduling, people, and services, you can filter your data—say, by time interval, site, customer, or specific employees. Some individual features have extra filters. For instance, you can filter schedules by updated shifts.

You can also add and remove columns. You might customize a people table by adding position, default customer, and max hours. 

Then, you can export your custom data to a PDF or Excel file. I like that you can export all shift data, including notes, attachments, and time logs. 

2) Home dashboard

You can customize your home analytics dashboard and filter your data by time interval, employees, and sites. This is the only reporting tool that offers visualizations, but you have a choice of just 3 widgets:

  • Schedule overview: Includes total, assigned, and open hours
  • Late comers: Shows late check-in times
  • Billing vs. payroll: Includes total billing, total payroll, and profitability ratio

3) Reports 

The official reporting section contains 1 report only: an audit of schedule changes. This offers a detailed breakdown of created, updated, and deleted data, such as when shift times were changed, breaks were added, or shifts were deleted. 

However, I couldn’t generate the report. A login screen appeared for a third-party vendor, TIBCO Jaspersoft, which required a separate account. I tried again and got an error message.

Ultimately, I would’ve offered Celayix’s reporting function a higher score had it been more reliable, powerful, and easy to navigate.

Celayix Customer Support

You can contact Celayix support by web form and phone (toll-free). The support form asks you for your name, company name, email, phone, subject, and message. I would’ve liked fewer required fields and a way to add attachments. 

The team promises to reply within 30 minutes. My response, however, came first thing the next business day.

There’s no live chat, although there’s a (not very helpful) bot in your Celayix account. That said, there are plentiful help articles on topics like setting up shifts and using the employee app.

Celayix App Review 

I thought Celayix was a reliable and effective team scheduling app. I was especially impressed with how customizable it is across features like auto-scheduling, task tracking, and customizing permissions. That said, communication, reporting, and integrations are limited.

It can suit small teams, although the pricing is slightly prohibitive. Growing teams, however, might want to look for a better deal with more features and user-friendliness. 

Connecteam: The Better Celayix Alternative

Connecteam is an all-in-one employee scheduling app with advanced but easy-to-use operations management features—for a much lower price than Celayix

I love the modern, intuitive feel of its employee scheduler. On both mobile and web, you see team shifts and availability at a glance and can quickly create one-off and recurring shifts. You can customize your view and filters to track labor costs and publish shifts with 1 tap. Connecteam lets employees self-schedule and swap shifts.

I also like that you can auto-fill all open shifts with 1 click based on staff availability and qualifications—and in my testing, I found it quicker than on Celayix. Plus, you can add tasks, files, and custom checklists and forms to shifts.

The 1-tap employee time clock is easy to use on web, mobile, and kiosk (no sliding necessary). Workers can track hours against specific shifts or unscheduled jobs, and you can customize overtime tracking to stay compliant and cost-effective. 

Connecteam lets you geofence your work sites, so employees must clock in and out within a specified radius. Unlike Celayix, it includes a real-time GPS tracker for clocked hours (including breadcrumbs, which show you employees’ journeys from A to B.) 

Finally, it offers comprehensive time off management—beyond time off requests and approvals. You can create and customize time off policies, manage accruals, and include time off in timesheets and reports.
