As an ex-multi-site manager, I know what’s important in work instruction software. I prioritized tools that offer multiple ways to give employees the information they need, like training materials, standard operating procedures (SOPs), and task-specific instructions. 

Must-have work instruction software features

First, I made sure every software for work instruction I tested had these core features:

  • Employee training tools: Software should offer the ability to create custom training courses and keep track of which employees have completed training.
  • Document management: Your platform must also offer a way to store and manage access to key instruction documents like SOPs.
  • Task-specific instructions: Work instruction software should also offer ways to attach specific instructions to individual tasks, shifts, or assignments.

Dealbreakers for this category

Work instruction solutions also had to have these features in order to make my cut:

    One thing I especially liked about this software is that employees can capture their work at every stage.     Another feature I really liked is the task-specific communication channel in Connecteam’s chat app. Employees can ask questions about the assigned task. I used it to ask employees to confirm that they understood the instructions, which helped to clear up any misunderstandings before work got underway.

    Another thing I liked is that Connecteam automatically tracks which employees have completed which courses. That’s key to ensuring all your employees are up-to-date on required training and the latest work instructions.

    Digital surveys and polls

    Connecteam’s survey and poll tools were another highlight of this digital work instructions software. They provide an easy way to collect feedback from employees so you can ensure your SOPs and training materials are effective.

     

    You can create custom surveys using various question types, like multiple-choice or open-ended questions, then instantly send them to your whole team or individual employees. Employees can access surveys and polls from anywhere on their mobile devices, and push notifications remind them to respond.

    I used surveys to make sure that my team understood changes I made to important SOPs. For example, I sent out a survey after implementing a new safety procedure to check that my employees understood the new guidelines.

    Every maintenance request is presented as a task, complete with work instructions, photos, videos, attachments, and more. Technicians can see who requested work and easily communicate for clarification. Plus, employees can track time spent on each request and sign tasks to indicate that they were completed according to specific SOPs.

    I also liked that MaintainX supports recurring maintenance tasks, which is useful for preventative and routine maintenance.

I liked how the checklists use conditional logic, so technicians are presented with different information or steps depending on their answers to questions earlier in the checklist.

    The software includes hundreds of checklist templates you can customize, which makes it easy to create your own library of SOPs quickly.

    When MaintainX may not be the best fit

    MaintainX is solely focused on maintenance, so it’s not suitable for providing work instructions for other types of work. It also lacks a document management system for storing maintenance SOPs, which is a little disappointing.

    SOP creation

    While a lot of work instructions software focuses on getting SOPs into your employees’ hands, Scribe is all about creating SOPs quickly. It offers multiple ways to create digital work instructions and step-by-step guides, which the platform calls “Scribes.”

    My favorite way to create work instructions in Scribe was to use the built-in screen recording tool. Scribe will record your screen as you work, then use AI to turn your actions into a Scribe. Once the draft was ready, I could easily add a voiceover or edit photos or descriptions to make the new SOP as detailed as possible.

    Of course, you could also create Scribes from scratch. I found that approach to work better for explaining how to perform physical tasks, like operating a piece of machinery.

    Employee knowledge base

    What I liked most about Scribe was how it turned a series of Scribes into a searchable, usable employee knowledge base. The software enables you to organize related Scribes into plans or categories. So, when an employee wants to learn about a process, they know exactly where to look and can quickly find all the information they need.

    It’s also easy to embed Scribes in the tools your business already uses. For example, you can make Scribe-created guides available through an existing wiki or help center.

    Collaboration

    Scribe also offers basic collaboration tools so you can split up the task of creating a knowledge base among multiple team members. You can assign a specific Scribe to an individual employee and easily track the progress of all your guides. This can be very helpful if you’re creating a large knowledge base from scratch and want employees from multiple teams to contribute their SOPs.

    When Scribe may not be the best fit

    Scribe only captures on-screen processes automatically, so it’s much less suitable for writing SOPs involving physical processes. Scribe’s editor also offers very limited flexibility, so it’s not ideal if you need highly customized or non-standard SOPs.
