Quick and simple scheduling—but not sophisticated enough for growing teams

ScheduleAnywhere was designed by parent-company TCP for teams needing basic scheduling in an Excel-like interface. I think it does that well. You can customize shifts quickly and copy-paste them across schedules. Employees can request open shifts, time off, and shift cover. I like that you can add unlimited custom fields to employee records and export almost 20 ready-made reports.

Of course, the lack of time tracking, custom reporting, and more may not suit growing teams. This would be fine if not for the prohibitive pricing for teams of under 25 workers. While I appreciate its ease of use and free trial, I think it’s hard for ScheduleAnywhere to compete with more advanced alternatives when it costs $6/user/month.

You must book a demo with a ScheduleAnywhere rep to get a quote—so that’s what I did. There are 2 pricing plans. Both offer the same feature set, but one bills a flat fee for up to 25 employees, while the other bills per user for 26 or more employees.

There’s a free 30-day trial, arranged through a product rep, no credit card details required.

You get API access for an additional $0.50/user/month on either subscription.

Plus, the one-time optional implementation fee is $295/hour. For 20 employees, I was quoted a 2-hour implementation at $590. This includes live training and software configurations. Regular support hours are free and unlimited.

For mid-sized teams, $4.80/user/month seems somewhat reasonable. That’s $144/month for 30 users—compare that with Connecteam’s $49.

However, for smaller teams, ScheduleAnywhere is costly. Because of the under-26-employees flat fee, you pay $150 whether you have 5, 10, or 25 workers. For 10 employees, it costs you $12/user/month versus, for example, Connecteam’s completely free plan for up to 10 users.

ScheduleAnywhere Usability and Interface

TCP built its ScheduleAnywhere subsidiary as a “simple tool for static schedules.” Modern user experience and fancy customizations are not its focus. 

The result? It looks like the type of program I used on my Windows 98 device in the early 2000s.

But I’m not its target audience. ScheduleAnywhere serves managers who prefer building spreadsheet-based schedules. You edit this web-based schedule as you would an Excel spreadsheet. You can cut, copy, and paste cells—which are shifts—but can’t drag and drop them as you do in schedulers like Connecteam. 

Despite its old-school vibe, the ScheduleAnywhere interface has upsides. For example, its toolbar neatly categorizes all features. I found all tools and settings easily. Most tools also include detailed how-to instructions in “What’s this?” pop-ups. In short, ScheduleAnywhere is ideal for first-time digital schedule managers.

Accessibility-wise, I appreciated the platform’s high-contrast text background. However, the font size on a web browser is fairly small, and some forms (like the coverage watch one) could have more clearly labeled fields.

Mobile app

The ScheduleAnywhere mobile app organizes features into folder-like structures. For example, the Manager folder contains the “View Messages,” “Daily Roster,” “Staff Schedule,” and “Open Shift Requests” sub-folders. Getting around is very easy. However, I dislike that you must go back using the on-screen “<” arrow and not smartphone gestures (such as my Android’s swipe-left). 

The mobile usability for employees is very similar to the web-based interface—for instance, they can view schedules and request time off. Managers, sadly, have less functionality on mobile. For instance, they can’t schedule or send messages (which they can do on alternatives like Connecteam). 

At first, I struggled to log in because the app glitched when I used my third-party password manager. Eventually, with a refresh, I signed in. There’s a noticeable 1-second lag when moving between features and tools, which isn’t present in the web-based version. On the plus side, the mobile app feels more accessible than the web portal, thanks to the larger font size.

ScheduleAnywhere Core Functionalities 

ScheduleAnywhere offers a suite of scheduling and data management features. Here are my highlights based on trialing and demoing the platform.

Scheduling

You’ll see your staff schedule immediately on the ScheduleAnywhere account homepage. You can create multiple schedules—for instance, for different locations or departments—and switch between them. You can also switch between a 1-day, 7, 14, 28, or 42-day view (though the latter view feels a bit cramped).

ScheduleAnywhere schedules work similarly to Excel spreadsheets. You can select cells (i.e., day slots) and:

  • Create or modify shifts for individual users.
  • Copy and paste shifts and groups of shifts across cells.
  • Add shift “explanations” (e.g., “on call,” “tardy,” “unavailable”).
  • Add shift notes—for example, tasks, instructions, or post-shift feedback.

I like that you can customize individual schedule tables. For example, you can add or remove columns (e.g., Total hours, Employee ID) and give viewing and scheduling permissions to specific users. Also, you can add unlimited schedules. These features offer much-needed flexibility to teams with multiple clients, shift schedules, or locations.

Importantly, you can track overtime and regular hours, including their respective wage rates. But you can do this only while using the “Estimated Cost” report. 

Plus, you can specify shift break times—something I appreciate since not all schedulers offer break tracking functionality. Also, the app prevents you from double-booking employees and sends automated shift change notifications (push and email).

If you’re using Excel to schedule your team, know that ScheduleAnywhere is a few pegs up. For instance, you can save shift templates to specific schedules and give them names (like “Night shift”), start and end times, descriptions, and pay codes. Back in the schedule view, you add the shift template directly or modify its parameters. Making it an open shift means team members on that schedule can request it—or you can assign it to one or several users. 

That said, the platform is basic compared with many competitors. With ScheduleAnywhere, you can’t:

  • Drag and drop shifts across schedules.
  • Get “accept” or “decline” shift responses from employees.
  • Add and tick off shift tasks.
  • Add files to shifts.
  • Get employee field forms.
  • Track workers’ unavailability and date/time preferences.
  • Track employee time or approve timesheets.
  • Record shift location as a standalone shift field (essential for field service teams).

ScheduleAnywhere’s sister company, TimeClock Plus, offers advanced time tracking features, though my rep said you can’t integrate it with ScheduleAnywhere and must buy and use it separately.

Shift swaps and requests

Team members can request and swap shifts, which helps you ensure shifts are covered and staff get their desired hours. The process is straightforward but entirely manual. 

Schedule requests are the platform’s only way to track workers’ shift availability and preferences. Workers make a request, select a manager, write an optional message, and provide the start and end date (but no start and end times, confusingly). 

To swap shifts, workers select the schedule and the date of the shift they want to drop, plus a pickup date. I wish workers could select multiple pickup dates for swaps. They can get around this by requesting a shift cover instead—that way, pickup dates don’t need to match coworkers’ drop dates.

I would’ve liked to see preferred times in both the schedule and swap/cover requests. This is currently lacking, which risks miscommunication and no-shows when workers have multiple shifts per day.

Coverage watch

The coverage watch tool lets you track critical schedule scheduling info, such as the percentage of unscheduled employees. 

In theory, it should help you cover your shifts optimally—but it’s a manual process. You don’t get automated coverage recommendations or color-coded charts that help you reach decisions.

Here’s what you can do:

  • Select your coverage statistic (e.g., hours, scheduled/unscheduled employees, or employees with time off).
  • Choose between totals only (e.g., total hours scheduled) and calculations such as ratios (e.g., scheduled hours out of total available hours). 
  • Choose specific employees, positions, departments, and shift tags to “watch.”
  • Enable alerts when stats fall outside a certain range (e.g., below or above 100-200 hours a week).

This functionality should suffice for smaller teams and straightforward coverage. Growing teams with complex schedules and varying demands (like those in retail or customer service) may benefit from more comprehensive coverage analytics that includes demand prediction—which I’ve seen in other apps.

While the coverage watch is like an ongoing mini-report, I like that it’s separate from the reporting feature. Your real-time coverage watch stats appear below your schedule table, and you don’t need to refresh or download them.

Time off requests

I tested ScheduleAnywhere’s time off functionality and, while limited, it runs smoothly

Firstly, you must tick “Submit time off request” when adding or editing employee accounts to enable them to make requests. Currently, there’s no way to bulk-enable time off requests for all employees or specific groups—like different locations or departments.

Employees simply enter the start and end dates and times for their leave. They select a manager to send the request to and, optionally, write a short message. I’m surprised there isn’t a dropdown in this form where they select the leave type (like parental, PTO, or sick leave). Managers receive the request via notification and, once the request is approved, that worker’s time is blocked off in all their schedules. 

There’s one major problem, though. There’s no clear-cut way for either managers or employees to track remaining time off or set allowances. This is because time off slots are, effectively, a type of shift. You request it and you get it. So, if you use ScheduleAnywhere and have leave allowance policies, you must track time off balances on another platform.

Employee database

The ScheduleAnywhere employee database is quite comprehensive

For starters, storing records under unlimited locations and departments is a big advantage—especially since some competitors limit locations in their plans. That said, growing teams with tons of locations wouldn’t benefit from ScheduleAnywhere as much as smaller ones.

You can also bundle employees into “workgroups.” For instance, you might categorize workers by client project. I found it useful that you can make open shifts available to workers from certain workgroups only—for instance, workers with the right qualifications. 

You can’t, however, link just any shift to a workgroup. You can do this with competitors like Connecteam (and Connecteam even warns you when you’re attempting to assign unqualified employees to those shifts). 

I also like that you can customize individual employee details. Beyond contact information, start date, department, location, and position, you can specify:

  • Their skills.
  • Hourly or daily wages.
  • Desired number of hours per week.
  • Specific admin permissions, including setting up new locations and time off tags.

You can also add custom fields to employee records—what a treat! For instance, you could label a custom field “Professional certificates” and add the description “Fire safety training.”

Communication

ScheduleAnywhere lets you send 1-way messages to employees via email and SMS. You simply type your message (up to 250 characters), select one or multiple recipients, and hit send. This type of messaging is ideal for succinct notices, such as last-minute shift changes.

Employees can’t message managers or each other. This could prevent essential collaboration and lead to miscommunication or missed shifts. 

However, I like that employees can comment on managers’ group messages.

Verdict: 5/10

ScheduleAnywhere Security Features 

You log into ScheduleAnywhere using your email and password. Multi-factor authentication (MFA) isn’t available, nor is biometric verification (e.g., fingerprint scanning) on the mobile app. 

For data security, the vendor uses in-transit (HTTPS) and at-rest (AES-256) encryption, which is an industry best practice. 

User access customizations are quite extensive. You can give employees read-only access to team schedules or to their own shifts only. You can also choose whether individuals can add employees, set up locations and departments, and get manager or admin privileges (such as creating schedules and approving time off requests). I haven’t seen many scheduling apps that enable you to individualize these permissions so much.  

Finally, TCP, ScheduleAnywhere’s parent company, provides extensive information on how it stores and processes data and the laws and regulations it complies with. It’s GDPR-compliant and SOC 2 Type II-certified. Unlike alternatives such as Connecteam, however, it’s not HIPAA-compliant.

Verdict: 8.5/10

ScheduleAnywhere Reporting & Analytics

ScheduleAnywhere offers 2 report types: regular (schedule exports) and managerial reports. There are 19 ready-made reports available.

But, you can’t build custom reports from scratch. This is a disadvantage compared with alternatives like Connecteam. 

Here are some useful reports you can easily view on-screen or download as a PDF, CSV, or Excel file.

  • Regular reports: daily roster, group schedule, and daily stats (including hourly coverage).
  • Manager reports: total hours, estimated costs (including overtime), schedule requests, and staff profiles (including skills and certificates).

Report filters and views vary across reports, but you can usually select your date range and the schedules and employees to report on. I didn’t like that you can choose the report start date but not the end date. Instead, you select the number of days or weeks to report on. This could involve time-consuming math—and errors.

Also, on reports including “Employee Schedules,” you can view up to 6 weeks only. So, users wanting to analyze shift patterns across several months must repeat the reporting admin several times. It’s a shame you can’t automate specific reports—like the total hours or cost ones—at regular intervals.

ScheduleAnywhere Customer Support

ScheduleAnywhere uses the parent company TCP’s customer services. You can contact the team 24/7 by email, phone, and live chat for no extra cost and with no time ceiling. This is very generous—many competitors offer Monday-Friday support during business hours only. My email request for a demo was handled quickly, but it took a couple of days to book a time with my product rep.

For me, support quality was hit-and-miss. The product rep who hosted my demo was very knowledgeable and answered my questions thoroughly, including via email. Meanwhile, different sales and support agents on live chat weren’t as clear or thorough. One rep even ended the chat without saying goodbye or asking if I needed further help.

There are also loads of step-by-step setup videos on topics like creating custom fields and downloading reports. For a fee, you can also book live training and onboarding support.

ScheduleAnywhere App Review 

ScheduleAnywhere is a straightforward shift builder that’s ideal for non-techy small teams. I especially appreciated Excel-like features, such as copy-and-pasting schedule slots, and its quick reporting.

However, for similar or lower prices, you could get extra features such as time tracking and advanced scheduling from other providers. Growing teams—or those needing to automate admin tasks—may run out of steam with ScheduleAnywhere.

Connecteam: The Better ScheduleAnywhere Alternative

Connecteam is a multi-featured team scheduling software with modern, easy-to-use features including drag-and-drop scheduling, recurring shifts, assignment automation, and more. Its useful tools—from time tracking to shift checklists—make deskless and admin workers’ jobs much easier. 

First, its employee scheduler lets you build and recur shifts in a few clicks (no copy-paste needed). You can also rotate shifts among staff members, and users can swap and request open shifts. I like that you can automate shift assignments with 1 click—the app adds team members to schedules for you based on their availability, specialization, and an even shift spread.

The scheduler works hand-in-hand with the employee time clock—a feature ScheduleAnywhere doesn’t offer. Employees track their hours with just 1 click, and the app’s real-time GPS tracker tells you if workers punch in the right locations. I love that you can set up advanced clock-in notifications—for instance, when a worker clocks in late or starts overtime.

I think Connecteam shifts come with some really handy tools. You can attach digital forms and tasks to shifts, and track task progress with employee task tracking

Finally, the online team chat outshines ScheduleAnywhere’s messenger—connecting employees, managers, and even clients and contractors. All users can send 1-to-1 or team messages securely, plus attach images, record voice notes, and more.

Apart from that, you also get:

  • A knowledge base providing easy access to company and shift guidelines.
  • An internal help desk where employees get real-time support from the right people.
  • Payroll integrations with popular platforms including Gusto and QuickBooks.
  • And so much more!
