While Kickserv does not sport the polish of modern software, its design and layout are up there with the best. I found the software easy to use, which is a big plus, especially when you consider it’s geared towards non-technical teams.
Regarding functionality, Kickserv ticks all the right boxes. It offers three scheduling options, but the dispatch mode stood out to me. This is because it offers a combination of a map and timeline view, streamlining proximity-based dispatching. Scheduling employees based on their proximity to the customer’s address reduces travel costs and improves response times.
The job tracking module offers a fixed task workflow, leaving no room to customize job stages. For this reason, it doesn’t suffice for teams needing more flexibility in their workflows. However, Kickserv updates the job status automatically based on employee actions. For example, when a technician taps “start job” the status changes from “scheduled” to “in progress.”
Kickserv also offers a time-tracking feature, but it’s somewhat limited. While it tracks employee regular hours, it lacks the capability to track overtime and breaks. For this reason, the time tracker will be less effective for businesses in regions with strict labor laws. Moreover, it might not be helpful if you need to restrict overtime to control labor costs.

Compared to other similar software, Kickserv is reasonably priced. The provider offers a flat-rate subscription with no base fee or setup costs. However, the pricing is tiered, meaning you may need to upgrade to a higher plan as your business grows. Alternatively, you can stick to your original plan and add users at $29 per user per month.
Another thing I noted is that Kickserv offers discounts on annual subscriptions, which is an industry norm. Just bear in mind that you may incur additional charges when you get paid via Kickerv’s Tap to Pay. Moreover, Standard plan subscribers (and higher) pay a $50 one-time fee for the QuickBooks Desktop integration.

Reliable field service management software should be user-friendly. It should let you set up your account, configure settings, add users, and dispatch jobs with ease. I dissected Kickserv to discover whether it ticks the right boxes. Keep reading to learn what I found out:
Setting Up Kickserv
Kickserv has one of the most straightforward signup processes I have ever seen. Creating an account is as easy as clicking “try pricing-name,” adding your details, and hitting “sign up.” The process is so simple that even the less tech-savvy employees can create an account on their own.

Once you sign up, Kickserv takes you straight to your company’s dashboard. There is no product walkthrough to acquaint you with the features. This means you have to figure out the software on your own, which can steepen the learning curve for beginners.
Additionally, Kickserv doesn’t take you through a guided initial setup. For this reason, you have to complete account setup and configure essential settings without guidance. However, I found it incredibly easy to complete company settings and customizations. I’m confident that newbies won’t have trouble adding company info, logo, services, tags, customers, and vendors.
Adding employees, vendors, and customers
Kickserv lets you manage the people at the center of your service: employees, vendors, and customers. Adding a customer is easy: click the “add new” on the main menu and select “customer.”

As you’d expect, the provider allows you to add the customer’s address for job dispatching. You don’t have to type the whole address. When you enter the first three letters, Kickserv serves up a list of possible addresses. However, in some cases, you may have to enter the location’s latitude and longitude for accuracy.
Adding employees isn’t straightforward because the feature is tucked in the settings page. You’ll have to open “settings” and select “manage users” on the right-sided navigation panel. Click “new user,” enter the employee details, set availability, assign roles, and click “create employee.” In the popup window, click “invite employee.”
Kickserv sends an email invitation with a link to the employee’s account. The employee will only need to click the link to set up their account and create a password. When the employee logs into the mobile app for the first time, Kickserv offers a video walkthrough to flatten the learning curve.

An employee can have either a technician or a staff role. The former will only see their assigned jobs, whereas the latter can see jobs assigned to other employees.

Kickserv Web App
Kickserv’s web app prioritizes functionality over aesthetics. It might not be the most visually appealing app but, I must say, it’s functional and effective. The main features — dashboard, jobs, planner, customers, reports, and settings — are neatly organized on the left-sided menu panel.
When you click “add new,” “planner,” or “jobs” you get additional options. For example, when you click planner, you get options to schedule, dispatch, and plan resources. Consolidating related features simplifies navigation and helps maintain a clutter-free user interface.

The settings page offers numerous options, which can feel overwhelming at first. However, thanks to the left-sided navigation menu, finding the right settings page is a breeze. Some tabs on the settings page, like company information and customer center, are crammed with details. Thankfully, Kickserv offers succinct instructions to simplify configuration.

Kickserv Mobile App
Kickserv offers Android and iOS mobile apps for field teams, which is great. You can choose to log into the app via the magic link or the standard email password method. The latter requires you to provide a six-digit account ID, which is your company’s subdomain. This adds an extra layer of security to your account.

When you log in, you land on the home page, which displays a calendar and events feed. You can filter the feed to view your assignments or those of colleagues. I liked the feed because it keeps employees on top of their assignments so they always know the next move. The calendar helps sort the event’s feed by day.
Overall, the mobile app’s interface is well-organized and clutter-free despite displaying a detailed feed. The menu is at the bottom of the screen, which is the norm these days in modern apps. The menu neatly displays the main features — home, estimates, jobs, invoices, and contacts — to simplify navigation.

The employee and manager mobile app versions have identical functionalities. However, the features each user can access depend on permission levels. For example, you can allow some employees to edit contacts, time entries, expenses, and payments.
Unfortunately, Kickserv’s mobile app doesn’t offer an offline mode. This might not be an issue for field teams operating in well-connected areas. However, it can be problematic for employees in areas with poor connectivity. Employees could miss important job updates or lose track of their work hours, turning payroll into a messy guessing game.

What I really liked is that Kickserv gives you multiple options to schedule jobs and events. This enables the software to cater to the varying needs of different field service businesses. To start scheduling employees, I only need to click “planner” and select a preferred option: schedule, calendar, and dispatch.

The schedule option gives you a bird’s eye view of all scheduled jobs, reminders, estimates, and time off. You can add a new event or toggle between today, overdue, upcoming, and completed tabs to see events by status. Alternatively, use the filters at the top to zero in on specific services or technicians.
Like the schedule, the calendar option lets you view all upcoming events. However, it features a familiar calendar layout with a day, week, and month view. Scheduling a job is as easy as double-clicking a cell that aligns with the specific day and time of the event and adding the task details. You can drag and drop events on the grid to expedite scheduling.

Lastly, you can schedule jobs on the dispatch page. I found it easier and more effective to schedule field employees on this page than the other options. This is because with its unique combination of a map and timeline view, you get smart location insights for proximity-based scheduling.
For example, you can see an appointment’s location relative to the employee’s home address or live location. This enables you to dispatch the nearest employee to a high-priority job. Doing so ensures technicians respond promptly to urgent service issues. It also reduces driving distance, saving you travel costs.

Job Tracking
Kickserv isn’t the best job management software because it lacks vital tools like recurring tasks and advanced task views. However, its job-tracking capabilities rival those of the best. The app offers a workflow with five fixed statuses: unscheduled, scheduled, in progress, on hold, and completed.
When you create unassigned jobs, they appear under the “unassigned” column. The job status and progress change automatically based on employees’ actions. For example, when an employee taps “start job” on the mobile app, the job status changes to “in progress.” Likewise, when an employee taps “on hold” or “complete,” the status will change accordingly.

Kickserv’s automated job workflow provides real-time visibility into job progress, enabling you to pinpoint and eliminate process bottlenecks. Let’s say you have an alarmingly high number of jobs on hold on a particular day. You can quickly dig into the cause and devise a remedy to keep operations ticking along.

Time Tracking
I appreciate the time tracker because it works seamlessly on Android and iOS smartphones. This enables field service technicians to track time on their devices. This saves you huge upfront fees because you don’t have to invest in expensive gadgets. The time tracker worked just fine during my testing, but it could be better.

The clock in/out button resides within each job. So, to track time, the field employee will need to open the job page, click “start job,” and “clock in/out.” Having the option within the job page ensures every second is attributed to the correct job. This enhances the accuracy of billing and payroll data, which is great.
However, requiring employees to clock in and out of multiple jobs during the workday could lead to click overload. The more the clicks, the more the chances of forgetting to log time, leading to erroneous billing and remuneration. The best field service management software solves this challenge by using a “switch task” option.
For example, with Connecteam, field service agents clock in once at the start of the day. They don’t have to clock out and clock into the next job. Instead, they only need to use the “switch shift” button to track time for each task. This simplifies time tracking and minimizes the chances of forgetting to log work hours.
That Kickserv’s niggle aside, if you’re already clocked into a job, the app won’t let you start another session. Instead, it serves up a pop-up box requiring you to confirm clocking out of the first. When you click “confirm” and tap “yes” in the next pop-up, Kickserv clocks you into the second job automatically.
Overtime and break tracking
Kickserv doesn’t offer dedicated overtime and break trackers, which is a dealbreaker for businesses that prioritize compliance. Moreover, it doesn’t support facial recognition or geofencing to curb time fraud. However, it does offer upcoming job reminders to keep employees on schedule, boosting timecard accuracy.

Expense Tracking
Fuel costs, parking fees, tolls, phone expenses, and hotel stays are some of the expenses field employees incur while on duty. Depending on your company’s policy, you may have to reimburse some or all of these expenses and do so accurately. This is where Kickserv’s expense tracking tool can make the difference.

I dug through the app and found that it lets employees add expenses per job. This prevents a mix-up of customer expenses, enhancing billing and reimbursement accuracy. To add an expense, open a job, select “expenses,” and click the plus (+) at the top right. However, employees must have permission to create and modify expenses to use this feature.
I really liked the detailed expense submission form. Employees must provide expense dates, amounts, descriptions, PO numbers, receipt numbers, and vendors. Additionally, Kickserv requires employees to attach an expense receipt. The details seal all fraud loopholes, making it difficult for employees to submit vague or inflated expense claims.

My only gripe is that the expense tracking feature doesn’t let users create custom expense categories. This isn’t a big issue because the available categories capture the whole spectrum for most businesses. However, I think the functionality could significantly enhance Kickserv’s performance on this front.

Live GPS Tracking
Kickserv live GPS tracking eliminates the concerns you may have about field employees activities. It helps monitor the activities of each employee, eliminating inefficiencies that impact team productivity and customer satisfaction.

At any time during the workday, you can open the “map” to get a bird’s eye view of your team’s location. No more worries about whether technicians are where they are supposed to be. If you get a complaint from a customer about a delayed response, fret not. The map will help you get to the bottom of the issue.
Use the filters to the right of the map to zoom in on the employee responsible for the customer’s service. You’ll instantly see where the employee is relative to the customer’s address. This helps you give customers an accurate expected time of arrival (ETA).
I really liked the GPS check-ins. They provide a chronology of events, so you know what the employee has been doing during the day. You can see when and where they clocked in/out of each job or started a task. The insights help pinpoint suspicious field activities or delays impacting operations efficiency.

Kickserv Integrations
Kickserv supports seven native integrations only, and might not cover all the tools in your technology stack. Its integration partners include:

I think the modest selection only covers the bases for some businesses. However, businesses that don’t usually rely on the tools on this list will feel left out. The only respite is that Kickserv offers an open Application Programming Interface (API). With the API, you can build custom integrations to streamline data flow between systems.

Reporting and Analytics
Kickserv’s reporting and analytics module offers 25 pre-made reports. Despite offering the various reports, I wouldn’t say that this is the most advanced reporting feature. I have seen better. However, the organization of reports into three categories — sales & marketing, work, and finance — stood out to me.

I found it easy to find and generate a report of interest from the list. Some of the reports I found helpful include:
- Marketing sources (details) — The report helps you determine which of your marketing channels is paying off.
- Revenue by service — With this report, you can easily determine which of your services is most profitable.
- Productivity (per employee) — The report helps you track the contribution of each employee towards your bottom line.
- Expense reports — You can also generate various expense reports like expenses by technicians and by vendors.
Beyond the pre-made reports, Kickerv offers an option to generate custom reports. With this option, you can generate customer, contact, job, task, time entry, and job charge reports. What really impressed me was the array of filters. They enable you to generate detailed reports that zero in on the vital business aspect.
However, the reports sharing option is limited to CSV file download, which is disappointing. Kickserv should consider adding more sharing options, like emailing reports directly to the recipient. I would also like to have an option to schedule reports to be delivered to my inbox regularly.

Kickserv Security Features
I found no publicly recorded case of a security incident or data breach involving Kickserv. The strong track record reflects the vendor’s commitment to safeguarding user data. Some of the measures Kickserv has implemented include role-based access. It ensures each user has access to data relevant to their role, reducing the risk of intentional or accidental data breaches.
Kickserv doesn’t support two-factor authentication (2FA), which is a black mark on its security stature. Thankfully, the mobile app requires users to provide a six-digit account ID during login. While the additional safeguard isn’t as effective as 2FA, it makes it harder for strangers and outsiders to gain access to user accounts.
Regarding encryption, Kickserv uses HTTP Secure Sockets Layer (SSL) to protect data in transit. This blocks attempts by hackers and cybercriminals to intercept your data. Moreover, the provider stores data on Amazon Web Services (AWS), which provides robust security for data at rest.
Further, Kickserv has a Data Processing Addendum (DPA) outlining legal assurance and data handling guidelines. The DPA specifies how the vendor and users should handle data to minimize the risk of unauthorized access. I also found that the DPA complies with data protection laws like the General Data Protection Regulation (GDPR), which is impressive.

Kickserv offers live chat, phone, email, knowledge base, and walk-in support options. I liked the option to access help articles without leaving the web app. Simply click the question mark icon at the bottom right and select “articles.” Click on any of the five categories and choose a topic of choice to find instant answers to your issues.

Kickserv’s knowledge center isn’t the most comprehensive library of articles, but it covers the most common issues. Articles are organized into main categories: getting started, custom options, mobile apps, and FAQs. I liked the illustrations in most of the articles because they make it easy for users to follow and implement the guide.
There’s an option to connect with a live person, but it seems dysfunctional. I say this because I never received answers to my questions on live chat. However, Kickserv responded to the questions via email in under an hour. While the email response time was fast, it might not be an effective channel for urgent issues.
