Solid field service management software for small and medium-sized businesses, but costs can add up

Workiz is a field service management platform designed to help businesses manage their workforce, work orders, clients, and more. It offers a wide range of features, including scheduling and dispatching, invoicing, payments, inventory management, and customer relationship management (CRM).
I was impressed by Workiz’s design and help center. But I experienced frustrating glitches when signing up for the free trial.
Additionally, given its price point and limited integrations, Workiz seems like a good option for small to medium-sized businesses. However, I wouldn’t recommend it for larger teams that need advanced features, unlimited automations, and a better bang for their buck.
Key Features:
- Scheduling and dispatching. Create and assign jobs using drag-and-drop tools or smart scheduling, based on skills, locations, and time off (which you can log in the app).
- Time tracking. Let team members clock in and out of their jobs or workday from their mobile devices or web apps. Plus, review and edit these from your dashboard.
- Invoicing. Generate and share customizable invoices, set automated payment reminders, and accept online payments from clients.
- Inventory management and equipment tracking. Monitor stock levels and maintain up-to-date records of your company’s equipment.
- Sales, bookings, and CRM. View and manage clients’ information, records, job history, notes, and more; provide job estimates; and enable online bookings.
- Customer communications. Use built-in tools to call, text, and email clients, including Workiz’s AI call answering, smart routing, number masking tools, and more.
- Integrations. Connect your Workiz account with third-party platforms for accounting, calendar syncing, client bookings, email marketing, and more.

Many field service management platforms don’t list their prices transparently, so I was pleased right off the bat that Workiz is upfront with its pricing.
It was also easy to understand which plan offered what feature. The only exception was time tracking, which unhelpfully didn’t appear on any of the plans (although I know Workiz offers it).
Regarding the pricing itself, I was initially happy to see a flat monthly price, but I quickly realized that each plan was limited to a certain number of users.
Unfortunately, the user limit is far too small, in my opinion. For example, on the Standard plan, you pay $229/month for up to 5 team members (including admins and workers). To add more team members, it costs $46/user/month on the Standard plan and $54/user/month on the Pro plan. These costs can add up very quickly as you hire more employees.
I also came across some online reviews mentioning hidden costs. For example, one user reported, “The app started good. Decent features for the mid tier program they offer. I notice they try and nickel and dime you any decent feature is an add on for hundreds of dollars.”
The good news is that you can still add subcontractors for free. They can be assigned to jobs and receive SMS notifications, but they can’t log into the dashboard. In my eyes, this isn’t a bad option for companies that deal with a large number of ad-hoc subcontractors.

Overall, Workiz is on the more expensive side. I think it could work well for businesses with very few users, but it’s not ideal from a price point if you’re planning to grow your business. That said, I do appreciate that it offers a free plan for small businesses with up to 2 users and a free trial.

Workiz Usability and Interface
Workiz offers a 7-day free trial meant to help customers explore the platform. But the free trial doesn’t work, and I never received a response to my demo request. I spent more than an hour trying to set up a free trial and even asked for support, to no avail, and I found the experience extremely frustrating.
I shared my personal and company details (Workwiz also asks you for company revenue and forces you to share a phone number, which I didn’t like). Then, it asks you to verify your email address. After that, every time I entered my credentials to log in, nothing happened.

Nonetheless, I could access screenshots from the website and help center, and these were enough for me to get an idea of the platform’s design.
Workiz features a modern interface, featuring a simple color theme of white, yellow, and light blue, and a clean layout.
The Home feature displays various insightful widgets, including sales, upcoming jobs, invoices due, job estimate statuses, and more. I was impressed with one in particular: top-performing technicians, because it’s such relevant information, and you can see how your team is performing without needing to download and analyze a bunch of data.
That said, I wish these widgets were customizable, as different companies will likely use the app differently and have varying priorities.

The web portal had all key features (including Schedule, Map, Calls, Jobs, Leads, and more) neatly laid out on the left sidebar, making navigation easy. Individual features seemed fairly intuitive, except that I found the “Week view” in the schedule to be cluttered and confusing to look at; the day and month views were easier to digest.

In my opinion, the one big positive is that Workiz offers accessibility features such as color contrast, alt text, video captions and transcripts, and keyboard navigation to support users with visual, motor, or other impairments.
My overall impression of the web app? While the design was nice to look at, and the features were fairly straightforward to navigate, it was a nightmare to sign up and create an account.

Mobile app
Workiz offers mobile apps for iOS and Android.
When I tried logging into my free trial from the mobile app to see if that worked, it said the free trial expired (one hour after I signed up). This issue occurred with multiple accounts, indicating a technical problem with Workiz’s system.

You can access Workiz’s mobile app as an admin (who can view all features, except reporting, management, and account preferences) or as a technician (who can only see the features they need in the field).
The mobile app has the same white and yellow branding as the web portal, so it feels like you’re using the same platform. I also appreciated the way key features, such as Schedule, Messages, Clients, and Timesheets, were organized in the admin app view.
However, the technician’s UI had only two features listed at the bottom: Schedule and Timesheet. For any other actions, such as calling clients, attaching photos to jobs, processing payments, and so on, technicians need to go to their Schedule, click into a job and complete actions from there.
Given that there’s space for more than two features to be listed in the bottom bar (like the admin view), I would have preferred quicker access to these other features.
In terms of usability, I appreciate that Workiz’s features work offline and sync with the system once an internet connection is established. This is great for teams working from remote locations.
That said, I was shocked that neither the web portal nor the mobile app works outside of the United States. While I understand that Workiz may be limited to US businesses, admins can’t access or use the features when they’re traveling, for instance.

Workiz Core Functionalities
Scheduling and dispatching
With Workiz’s scheduling tool, you can create jobs directly from empty calendar slots by adding client contact details, service address, time, tasks, and other information in a quick view panel.
See all your jobs in a calendar interface by day, week, or month, or in a timeline view, and use drag-and-drop tools to assign jobs to team members, adjust time slots, and reassign jobs when needed.
I like that you can filter a schedule by team, technician, or tags, which makes it easier to cut out the clutter and view just what you need. I also really appreciate the ability to color-code jobs based on the assigned technician, making it easier to spot conflicts, over-assignments, and similar issues.

The Workiz Genius scheduling feature is another great tool. It uses AI to check your team’s availability, current schedules, locations, and more to assign jobs to the best available technician. This makes it extremely easy for dispatchers to manage jobs and handle last-minute changes.
That said, I wish Workiz offered open shifts and shift swapping to empower workers to pick their own jobs or trade with colleagues quickly when needed. Connecteam does this, and I find it very helpful.
Finally, I would have also liked Workiz to have stronger time off management tools. Currently, workers can request time off from the app, and you can track this when building schedules. However, you can’t create custom leave policies with different accrual and carry-over rules. You also can’t mandate rest breaks to stay compliant.

Time and location tracking
Workiz enables workers to clock in and out of their jobs directly from their mobile apps or web portals. They can also add time manually from the web portal.
When workers are clocked in, Workiz automatically logs the time and links it to the job record. There’s also the option to track time without associating it with a specific job, which I think would be helpful for office roles.
If location tracking is enabled, Workiz logs your workers’ GPS locations at clock-in. You can view their live locations on a map, along with timestamps, so you know which is the latest one.
All tracked hours appear as timesheet reports within the reporting feature, where you can view and edit entries. You can see the total hours worked, labor costs, and the number of jobs completed in timesheets.
You can also filter the report by date, employee, or job status and export timesheets for payroll. However, I was disappointed that timesheets don’t show information like overtime hours or billable versus non-billable hours.

Invoicing and payments
Workiz’s invoicing tools enable you to create and send invoices from both desktop and mobile apps. You can generate invoices manually and link them to completed jobs. Or, use automatically generated invoices with the platform’s recurring billing features.
Either way, you can add customized line items, attachments, notes, and payment terms before finalizing the invoice and sharing it with clients from within the app.
Once invoices are sent, you can track their real-time status, such as unpaid, overdue, or paid, and even send manual or automated reminders for overdue invoices.
I loved that I could customize automated reminders by selecting when I want the reminders to go out—for instance, one month after sending the invoice.

Payments are managed through Workiz Pay, which allows clients to pay by credit card, bank transfer, or contactless payments. In addition to final payments, it also lets you collect deposits or tips. I only wish there were automatic tax calculations based on the service state or region.

Inventory and equipment tracking
With Workiz, you can create inventory items with details such as price, stock-keeping unit (SKU), and tax settings, and even set restock alerts. Once you add an item, you can track how it moves across locations.

Similarly, you can also keep a record of job-related equipment, including warranty info, serial numbers, and installation details. These are linked to the job and client profile, in case you need this information for planning.
While these features are good, they aren’t as advanced as I’d have expected, given that these are some of Workiz’s key features. For instance, there’s no barcode scanning, vendor management, or automated ordering workflows.

CRM and communication
With Workiz, you have a central location to manage everything client-related. You can view each client’s job history, invoices, past communications (including call recordings if you used Workiz’s built-in call feature), and service plans. You can also create jobs, send estimates or invoices, and add notes for your team from here.
Another cool feature is the ability to tag clients with custom labels—for instance, as loyal customers, VIPs, or frequent no-shows. This gives technicians an idea about what to expect, and you can use this information when assigning jobs and managing clients.

All client comms, including text messages and emails, are managed through a central message hub. You can send messages, share photos and files, and even create a job directly from a message thread.
Overall, although this feature lacks advanced tools like marketing automation, it serves its purpose for small to medium-sized businesses.

Integrations
Workiz offers several integrations for accounting, finance, marketing, sales, and more. There’s also an API via Zapier. However, I think Workiz’s integrations overlook some key areas, such as payroll and internal communications tools.

Workiz Security Features
Workiz has several security and privacy measures in place to protect user and customer data. These include:
- Two-factor authentication (2FA): Adds an extra layer of protection by requiring a one-time code via SMS when users log in or change sensitive settings.
- Role-based permissions: Controls what each team member can see and do within the platform based on their role, like admin, technician, subcontractor, or customer.
- SSL encryption: Protects all data in transit and at rest, making it difficult for unauthorized parties to access and decode information.
- Activity logging: Keeps a record of all account changes and access events for oversight and future review.
Unlike apps like Connecteam, Workiz doesn’t explicitly mention compliance with the General Data Protection Regulation (GDPR) or the Health Insurance Portability and Accountability Act (HIPAA). So, I’m not sure if it’s the best platform for businesses that regularly handle highly sensitive information.

Workiz Reporting & Analytics
Workiz’s homepage is a handy dashboard with built-in insights and analytics on jobs, invoices, top-performing jobs, top-performing technicians, and more, allowing you to make data-driven decisions for your company.

Workiz also offers ready reports to help you keep track of your business. You can view reports for things like:
- Technicians’ timesheets, including hours worked, on which jobs, and labor cost data.
- Inventory report showing detailed information about stock location and usage.
You can also customize reports (available as an add-on) to view the exact data you need and group it any way you want.
Reports can be saved and exported, but I’m not sure if there’s a way to share them directly within the app.

Workiz Customer Support
I was very torn about Workiz’s customer support. It offers several options, including live chat, phone, and email. But these are available only from 5 AM to 6 PM PT on weekdays, so there’s no round-the-clock assistance if you need it.

Companies on paid plans can also access an onboarding specialist to help them get set up, as well as a dedicated customer success manager, which I appreciated. I also found the help center excellent, with clear guides and built-in video tutorials.
That said, I didn’t have a great experience trying to access the free trial. I had trouble signing up, the free trial didn’t work, and the customer support team didn’t help resolve the problem and simply canceled my trial account (which I could never access in the first place). This left me with a poor first impression.

Connecteam is an all-in-one field and frontline services management platform. It’s easy to use, has a feature-rich mobile app, and offers reasonable and transparent pricing, including a free plan for small businesses with fewer than 10 users, compared to Workiz’s free plan for up to 2 users.
Let’s dive into Connectem’s core features.
Scheduling and time off management
Connecteam’s job scheduling tools enable you to create and assign jobs manually using drag-and-drop tools. You can also copy previous schedules or import them from Excel.
The real time-saver, though, is Connecteam’s smart scheduler that automatically assigns shifts based on workers’ availability, preferences, locations, and skills. Furthermore, unlike Workiz, Connecteam offers open shifts and shift swapping to reduce administrative burden and empower workers to select their preferred jobs.

Time tracking and timesheets

Using Connecteam’s employee time clock, technicians can track their work hours with a single touch from any device—or add time manually, if needed.
Similar to Workiz, you can track their live locations on your admin dashboard, but Connecteam also offers geofencing and overtime alerts to prevent time theft and unnecessary labor costs. Moreover, workers can categorize time as billable or non-billable, making it much easier to process payroll and accounting.
Finally, you can view, edit, and approve timesheets for payroll from your dashboard before syncing with one of Connecteam’s payroll integrations, including Gusto, Xero, Paychex, and more. This gives it a clear advantage over Workiz.
Task management, communication, and more

Connecteam’s employee task tracking feature allows you to create and assign tasks, subtasks, digital forms, and custom checklists, such as inventory and equipment lists, within shifts, which I found very handy. You can add notes, due dates, and reference photos so technicians always know exactly what to do in their job.
There’s also an online team chat that you can use as a separate feature to integrate within tasks, allowing you to message technicians in one-to-one or group settings.
Beyond this, Connecteam offers so many other tools for operations, communication, and HR management. It’s a true all-in-one solution!
